5E.1Reference Manager Software#

Concept

A reference manager collects bibliographic records and PDFs, organises them in a library and formats citations and bibliographies automatically. Zotero is free and open source, developed at George Mason University’s Center for History and New Media (2006), and captures records through a browser connector. Mendeley (owned by Elsevier) combines reference management with PDF reading and annotation. EndNote (Clarivate) is a commercial desktop-based manager. JabRef works natively with BibTeX, Paperpile integrates with Google Docs, RefWorks is from ProQuest and Citavi is popular in Europe. They save time and reduce citation errors, but the captured metadata must still be checked.

Memorise

  • Zotero: free, open source. Mendeley: Elsevier. EndNote: Clarivate, commercial. JabRef: BibTeX.
  • Functions: capture, store, organise, cite, format bibliography.

Analyse / traps

A reference manager does not guarantee correct citations; auto-captured data can contain errors.

5E.2Features, Formats and Plug-ins#

Concept

The cite while you write feature inserts citations into Word, LibreOffice or Google Docs through a plug-in and builds the bibliography in a chosen style. Styles are stored in Citation Style Language (CSL) files, which makes it possible to switch between APA, MLA, Chicago, Vancouver and others in one click. Common exchange formats are RIS, BibTeX (.bib) and EndNote XML. Further features include duplicate detection, full-text search, annotation of PDFs, tagging, group libraries for collaboration and synchronisation across devices.

Memorise

  • Cite While You Write (CWYW) = plug-in citing.
  • Formats: RIS, BibTeX, EndNote XML; styles: CSL.
  • Group libraries enable shared reading lists.

Analyse / traps

Changing the style in a reference manager changes only the formatting, not the accuracy of the underlying data.
